Bookkeeping Assistant
Invoices read and checked, never retyped.
What it replaces
Retyping every supplier invoice, delivery note and receipt into the accounting system by hand.
The job
Takes documents as they arrive — PDF, scan, or a photo from site — and turns them into records your accounting system accepts. Reads the page as it looks: tables, stamps, handwriting. Checks its own work. Supplier terms, prices and CPR numbers all ride along in that text.
What it does
- Watches a scanner folder or a mailbox
- Reads each page with a vision model: layout, tables, stamps
- Extracts to a fixed schema: supplier, dates, lines, VAT, total
- Checks the sums, the VAT number and for duplicates
- Anything that fails a check goes to a review queue
What you get
- A posting-ready record per document, in your system's import format
- The original page filed beside it, so every number traces back
- A review queue of what it would not vouch for, with the reason
- A monthly report: posted, held, and what it got wrong
How far it goes on its own
Reads, extracts, checks and files unattended. It does not post to your ledger — it prepares a batch and a human approves it. The first two weeks are read-only, so you see what it would have done before it does anything.
Where it is weak
- Headers — supplier, date, total — extract above 99%. Line items run 57% to 87% depending on layout. Budget for line-item review, not line-item autonomy.
- Handwriting and phone photos of crumpled receipts are the worst case — and what site staff actually submit.
- Danish bookkeeping law: the local store is a working copy. Your registered accounting system remains the record.
What leaves your building
- Your accounting system, if it is cloud — e-conomic, Dinero and Billy all are. Documents and reading stay local; only the finished record goes out.
- VAT checks call EU VIES, CVR lookups call the Danish registry. Both optional, both can be switched off.
